What is OneDrive

OneDrive is an internet based (aka cloud) storage platform provided by Microsoft. It is designed to integrate seamlessly with Microsoft Office and underpins document sharing and collaboration. Over time we expect OneDrive to replace a vast majority of local file storage, i.e.drive N: (your home folder / My Documents)

There are various ways of accessing OneDrive on different devices, but in all instances you log on using your username@berkhamsted.com email address and regular network password (the same password you use when logging in to your desktop computer at school).

On your desktop computer at school there are two ways of accessing your OneDrive, and both have their different uses.

1. Accessing OneDrive via a web browser (Chrome or Internet Explorer). The first screen you see is known as the root folder – the very top level. If you’re reading this article for the first time you probably won’t have any files here, but this is the view of a populated OneDrive. Documents that you create or move here are private unless you share them (refer to the ‘Sharing Documents’ article (link to come)

When opening a document from a web browser, it will automatically open the corresponding Office Online app. For example if you open a word document, it will open the online version of Word. From there you do then have the option of opening the document in the full desktop version of Word, but it’s worth noting that it opens the online version first.  For the vast majority of you, the Online Office applications will cover all of the features you need.

2. Accessing OneDrive via a drive letter (drive O). When logged onto a Berkhamsted School computer either in school or remotely via Citrix, an additional drive letter, O: has been mapped to your personal OneDrive.

The fundamental difference here is that when you open a document from Drive O, it opens the corresponding Office Desktop application. For example if you double click on an excel file it will open the full desktop version of Excel.

Office Online vs. Office Desktop. Office Online is the lightweight, web browser based version of the more familiar suite of desktop apps, Word, Excel and PowerPoint. There is no recommended option and everyone will have their own preference as working styles differ. What is important to note is regardless of which version you choose, beit Online or Desktop, if the document is stored in OneDrive the changes you make in one version will reflect in the other.

On your iPad and iPhone you can download the OneDrive app from the App Store. You also need to download the office apps individually: Word, Excel, Powerpoint and OneNote are all available for free from the App Store.
